Account and Data Deletion

Last updated: 2 September 2026

Use the form on this page to ask us to delete an Accelerec HRM account and the personal data held with it. You do not need to sign in, and you do not need an account to send a request.

1. Submit a deletion request

Fill in the form below and it is emailed straight to our team. Tell us which organisation the account belongs to, because employee accounts live inside an employer's organisation on the platform and we need to know which one to look in.

If you would rather write to us yourself, email [email protected] with your name, the organisation you work for, and what you want deleted.

2. Who can request what

An employee's HR record is created and owned by their employing organisation, which is the data controller of that record. Accelerec HRM is the processor: we hold and process the data on the organisation's instructions.

Because of that, an employee who wants their own employment record deleted is normally directed to their HR administrator first — they can usually action it faster, and they are the ones who decide what their organisation must keep.

You do not have to stop there, though. You can submit the form on this page yourself, whether or not you have spoken to your employer, and whether or not you can still sign in. We will act on it, working with your employing organisation as the controller of the record.

An administrator or owner acting for an organisation can use the same form to request deletion of a single employee's account or of the organisation's whole account.

3. What gets deleted

When an employee account deletion is actioned, these categories of data are removed from the platform:

  • The account and its login credentials — the sign-in identity, its password and any session or device tokens, including the push-notification token for the mobile app. Sign-in stops working.
  • Profile details and contact information — name, email address, phone number, address and the other personal fields on the employee profile.
  • Uploaded documents and the profile photo — files attached to the record, and any photo set on the profile.
  • Attendance and location records — check-in and check-out history, and any location points captured with it where the organisation had location-verified attendance switched on.
  • Leave records — leave requests, approvals and balances held against the account.
  • Payslip access — the ability to view payslips and pay data in the app or the portal ends with the account.

4. What may be retained, and why

We would rather be plain about this than promise an erasure we cannot deliver. Employers have their own statutory and retention obligations for employment records — payroll and tax records especially — and those obligations sit with the organisation, not with us.

So some employment data may be retained by the employing organisation even after account access ends. Where that is the case we tell you, and your HR administrator can tell you what their organisation keeps and for how long. Retention periods differ by country, sector and record type, which is why this page does not state one.

We may also need to keep a minimal record that a deletion request was made and actioned, so that we can show what we did if we are later asked.

5. Deleting a whole organisation

An organisation that is ending its subscription can request deletion of its entire account — every employee record, document, attendance and leave record it holds on the platform — through this same form. Choose "Delete an entire organisation's account and data" and send it from an administrator or owner address.

Each subscribing organisation is a separate tenant on the platform and its data is isolated from every other organisation's, so a whole-organisation deletion affects only that organisation.

If the organisation wants a copy of its data before it is deleted, say so in the message and we will arrange the export first.

6. What happens after you submit

  • We acknowledge it. You get an email at the address you gave us, confirming the request arrived.
  • We verify it. We check with you that the request is genuinely yours, and we check it with the organisation whose account it concerns, since that organisation controls the record. This step exists to stop one person deleting another person's records.
  • We action it. Once verified, the deletion is carried out as soon as reasonably practicable, and in line with applicable data-protection obligations, and we write to you to confirm what was deleted and anything the organisation is retaining.

You can withdraw a request at any point before it is actioned by replying to our acknowledgement email.
