Accelerec HRM

Privacy Policy

Last updated: 2 September 2026

Accelerec HRM is workplace software. Your employer subscribes to it to run their HR administration. This policy explains what personal data the Accelerec HRM service — the web portal and the Accelerec HRM iOS app — collects, why, and who it is shared with.

1. Who we are

The Accelerec HRM service is operated by Muhammad Hamza, a sole proprietor trading as Accelerec. There is no separate incorporated company behind the service.

Throughout this policy, "we" and "us" mean that operator. "Your organisation" means the employer or business that subscribes to Accelerec HRM and gave you your account.

2. Controller and processor — who decides what

Your organisation is the data controller of its employees' HR data. It decides what is recorded, which features are switched on, and who inside the organisation may see what. Accelerec HRM acts as the processor, handling that data on your organisation's instructions.

In practice this means that if you are an employee using the app, questions about why a particular field is recorded, why location-verified attendance is enabled, or who in your company can view your records are decided by your employer, not by us. We do not decide those things on your employer's behalf, and we do not use your employer's data for our own purposes.

Each subscribing organisation is a separate tenant on the platform, and each tenant's data is isolated from every other tenant's. One organisation cannot see another organisation's employees, attendance, documents or pay data.

3. What the Accelerec HRM iOS app collects

The list below is the complete set of personal data the iOS app collects or transmits. All of it is linked to your employee account, because the app exists to show you your own HR record.

Contact information

Your name, email address and phone number, taken from the employee record your organisation created for you. Used to identify you in the app and in HR workflows such as leave approvals.

Precise location

A single GPS reading, captured at the moment you check in or check out, and only where your organisation has switched on location-verified attendance. See section 4 for the full detail.

Financial information

Payslip and salary data belonging to your own employment record, so that you can view it in the app. The app shows you your own figures; it does not show you anybody else's.

User content

  • Profile photo — if you choose to set one, taken with the camera or picked from your photo library. The app asks for camera or photo-library access only at the moment you use one of those options.
  • Documents you upload — files you attach when your HR team requests them, such as a certificate or a signed form.
  • Comments — text you write on attendance records and on leave requests.

Identifiers

  • Your employee and user ID on the platform, which is how your records are linked to you.
  • A Firebase Cloud Messaging device token, used solely so that push notifications can be delivered to your device. It is not used to profile you or to track you across apps.

4. Location, in detail

Location gets its own section, because people reasonably worry about workplace apps following them around. Here is exactly what happens.

  • The app captures one GPS fix, at the moment you tap check in or check out. That is the only time location is read.
  • It is captured only when your organisation has enabled location-verified attendance. If your organisation has not enabled it, the app does not ask for your location at all.
  • There is no background location tracking and no continuous monitoring. The app does not collect your location while you are not using it, and it does not build a movement history.
  • Before you submit, the app shows you the captured point on a map, so you can see what is about to be recorded.
  • The captured point is stored against that attendance record, and in an audit log your employer can review.

iOS always asks your permission before the app can read your location, and you can withdraw that permission at any time in the iOS Settings app. Note that where your organisation requires location-verified attendance, declining may mean you cannot check in from the app and need to ask your HR administrator to record your attendance instead.

5. Face ID and Touch ID

If you turn on biometric unlock, it is handled entirely on your device by iOS, through Apple's LocalAuthentication framework. iOS tells the app only whether the check succeeded or failed. The app never receives, transmits or stores your face or fingerprint data, and neither do we.

6. How the data is used

The data described above is used only to provide the service — what Apple's App Privacy labels call App Functionality.

Specifically, we do not:

  • use it for advertising or marketing measurement;
  • track you across other companies' apps or websites;
  • build profiles about you for any purpose beyond the HR features you and your employer use;
  • sell it, rent it, or trade it with anyone.

The iOS app contains no advertising SDK and no analytics or crash-reporting SDK.

7. Who the data is shared with

Within your organisation, your HR administrators and the managers your organisation has given the relevant permissions can see your records. That access is configured by your employer.

Outside your organisation, the mobile app uses these sub-processors and no others:

  • Google Firebase Cloud Messaging — delivers push notifications to your device. It receives the device token and the notification content needed to deliver the message.
  • OpenStreetMap — supplies the map tiles the app renders when it shows you your captured check-in point.

We may also disclose data where we are legally required to, or where your organisation instructs us to as the controller of its data.

8. Your rights, and account or data deletion

You can view, and where your organisation permits it correct, much of your own information directly in the app or the web portal.

Employee accounts are created and owned by the employing organisation. An employee therefore cannot delete their own employment record from inside the app — an HR system whose records staff could erase would not work as an HR system. If you want your account closed, or your data corrected or removed, contact your HR administrator, who can action it.

You can also write to us directly at [email protected] to request access to your data, a correction, or deletion of an account or of an entire organisation's tenant, and we will action it on the platform. Where the request concerns data your employer controls, we act on your employer's instructions and will tell you that we have referred it to them.

There is also a dedicated page for deletion requests: Account and Data Deletion. It carries a form you can submit without signing in, and sets out what gets deleted, what your employer may have to retain, and what happens after you send a request.

To stop push notifications at any time without contacting anybody, turn off notifications for Accelerec HRM in the iOS Settings app.

9. How long data is kept

HR records are retained in line with your employing organisation's own retention policy and its statutory obligations as an employer. Because those obligations differ by country, sector and record type, the retention period is your organisation's decision rather than ours, and your HR administrator is the right person to ask about it.

When an organisation ends its subscription and asks for its data to be removed, we delete that tenant's data from the platform.

10. Security

  • All traffic between the app or the browser and our servers is protected in transit with HTTPS/TLS.
  • The iOS app stores its session token in the iOS Keychain, the operating system's protected credential store, rather than in ordinary app storage.
  • Each organisation's data is isolated from every other organisation's on the platform, and access inside an organisation is limited by the roles and permissions its administrators configure.

No system is perfectly secure, but if you believe you have found a vulnerability, or that data has been exposed, please tell us at [email protected] so that we can investigate.

11. Children

Accelerec HRM is workplace software, provided to organisations for use by their staff. It is not directed at children, and we do not knowingly collect data from children.

12. Changes to this policy

We may update this policy — for example if the app gains a feature that collects something new, or starts using a new sub-processor. Any changes will be posted on this page, and the "Last updated" date at the top will change to reflect them.

13. Contact us

For anything in this policy, including privacy questions, access requests and deletion requests, email [email protected].

If your question is about your own employment record — what it says, who can see it, or how long it is kept — your HR administrator can usually answer faster than we can, because your organisation controls that data.
